Book study rooms using Outlook (desktop version):

To book a meeting room in Outlook:

  • Open Outlook Calendar:  Launch the Outlook application and navigate to your calendar view.
  • Create a New Meeting:  Click on "New Meeting" or "New Event" to start a new meeting request.
  • Add Attendees and Details:  Fill in the meeting subject, invite attendees, and specify the date and time.

Access Room Finder:  Click on "Rooms..." or "Room Finder" (the location field may also have a drop-down arrow to reveal more options).  Locate and Select Room: Use the Room Finder to browse available rooms, search by name, or filter by location, capacity, or features.

Add to Meeting: Once you've chosen a room, select it and click "OK" to add it to your meeting request.

Send the Invite: Review all meeting details and click "Send" to invite attendees and book the room.

You will receive confirmation via e-mail that the room has been booked.

Cancel a Room booking in Outlook:

  • To cancel a meeting room booking in Outlook: Locate the meeting
  • Open your Outlook calendar and find the meeting you want to cancel.
  • Open the meeting: Double-click the meeting to open it in its entirety.
  • Cancel the meeting: If you organized the meeting, you'll find a "Cancel Meeting" button (or "Cancel" for recurring meetings).
  • If you didn't organize the meeting, you'll need to contact the meeting organizer and request that they cancel it.
  • Send the cancellation:  After clicking "Cancel Meeting", you'll be prompted to send a cancellation notice.
  • Confirmation: Once the cancellation is sent, the meeting room booking will be removed from your calendar and the room's calendar.

To ensure fairness of use, bookings should be made: once a day for a maximum of four hours up to one week in advance.
